Overview:
We are seeking a detail-oriented and proactive Team Administrative Assistant to support a high-performing department. This role will provide comprehensive administrative and operational support to a team of professionals, ensuring seamless coordination across schedules, meetings, travel, and reporting. The ideal candidate thrives in a fast-paced, collaborative environment and brings strong organizational skills, discretion, and bilingual fluency in Spanish and English.
Key Responsibilities:
Provide day-to-day administrative support to the department, including calendar management, meeting coordination, and logistical planning.
Schedule team meetings, prepare agendas, track follow-ups, and ensure meeting materials are distributed in advance.
Coordinate domestic and international travel arrangements using Concur , including flights, accommodations, and itineraries.
Draft, edit, and format correspondence, presentations, and reports using Google Workspace (Gmail, Docs, Sheets, Slides).
Maintain team calendars and assist with prioritization of meetings and deadlines.
Track and manage team expenses, assist with invoice processing, and maintain accurate records.
Screen incoming calls, emails, and requests; redirect or handle as appropriate to support the team’s efficiency.
Assist in organizing team events, offsites, and internal communications.
Maintain department files and documentation in an organized and confidential manner.
Provide backup and cross-coverage support for other administrative staff when needed.
Qualifications:
3-5+ years of administrative support experience in a corporate or financial services environment.
Excellent communication skills (both verbal and written).
Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) — required.
Experience using Concur or other travel/expense management platforms.
Excellent organizational, time management, and multitasking skills.
Strong communication skills and a proactive, can-do attitude.
High level of discretion and professionalism in handling sensitive and confidential matters.
Preferred:
Fluent in Spanish (written and spoken)
Experience supporting teams in financial services, banking, or global organizations.
Familiarity with internal collaboration tools (WebEx, GoogleMeet, etc).

With respect to this position in our New York Office, the expected base salary ranges from $70,000 to $80,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, certifications obtained. Market and organizational factors are also considered. In addition to salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.
