Job Description

Are you a "people person" with a passion for wildlife and a knack for numbers? Our client is seeking a versatile Administrative Coordinator to join our mission-driven team.

This is a dual-impact role designed for a professional who thrives on variety. You will spend your day balancing the high-energy environment of our visitor center with the quiet precision of financial administration. As the primary face of our sanctuary, you’ll ensure every guest has a premier experience, while behind the scenes, you’ll keep our operational wings flapping smoothly.

Responsibilities

Key Responsibilities

  • Atmosphere Management: Act as the first point of contact, providing a warm, professional, and proactive welcome to all guests.

  • Operational Oversight: Direct floor traffic and manage guest flow to ensure a seamless and efficient environment.

  • Service Excellence: Continuously look for opportunities to enhance the guest journey, resolving inquiries with poise and a customer-centric mindset.

  • Cash Management: Oversee register operations, ensuring absolute accuracy in cash handling and point-of-sale (POS) transactions.

  • Accounting Support: Execute full-cycle Accounts Payable (AP) processing and perform monthly bank reconciliations to ensure financial integrity.

  • Data Analysis: Maintain and update complex spreadsheets using Intermediate Excel functions, specifically utilizing VLOOKUPs and pivot tables for reporting.

  • Correspondence: Manage professional email communications, drafting clear and concise responses to internal and external stakeholders.

  • Back-Office Support: Assist with general administrative tasks, including filing, documentation, and office organization, to maintain a high-functioning work environment.
