About the Role
We are seeking a highly organized and proactive Administrative Assistant / Executive Assistant to support a senior executive at a global leader in sustainability, water treatment, and hygiene solutions. This role is ideal for someone who thrives in a fast-paced, enterprise-level environment and can act as a trusted partner to leadership. The ideal candidate has exceptional communication skills, strong calendaring expertise, and experience coordinating executive-level activities with precision and professionalism. Job Description
In this role, you will provide high-level administrative support to a senior leader, ensuring smooth day-to-day operations and enabling effective decision-making. You will manage scheduling, communications, and cross-functional coordination while representing the executive’s office with a high degree of discretion.

Key Responsibilities:
Administrative Support
  • Manage the executive’s calendar, schedule meetings, and coordinate complex travel arrangements (experience with Concur preferred).
  • Handle correspondence, email management, and communications on behalf of the executive.
  • Prepare and organize meeting materials, take meeting notes, and track follow-up actions.
  • Develop executive-ready presentations, reports, and documentation to support business reviews and strategic discussions.
  • Draft and distribute high-level communications on behalf of the executive.
  • Plan and support leadership meetings, team events, and offsite activities, ensuring all logistics are executed accurately.
Interdepartmental Coordination
  • Serve as a trusted liaison between the executive, cross-functional teams, and other administrative partners.
  • Filter, prioritize, and route critical information to ensure the executive stays informed and focused on strategic priorities.
  • Maintain sensitive records and handle confidential information with the highest level of professionalism and discretion.
Qualifications
Required Qualifications:
  • Proven experience providing administrative or executive support in a corporate, enterprise, or similarly fast-paced environment.
  • Advanced Outlook calendaring skills, including managing complex schedules and shifting priorities.
  • Experience coordinating domestic and international travel (Concur experience strongly preferred).
  • Strong written and verbal communication skills, including drafting professional correspondence.
  • Ability to prepare polished presentations, documents, and reports for senior leadership.
  • High level of discretion, integrity, and professionalism when working with confidential information.
  • Strong organizational skills with excellent attention to detail and follow-through.
Preferred Qualifications:
  • Experience supporting senior leaders or C-suite executives.
  • Prior work in industries related to sustainability, manufacturing, or global operations.
  • Familiarity with enterprise tools such as Teams, SharePoint, or similar collaboration platforms.
  • Ability to build strong partnerships with cross-functional teams and other executive assistants.
